# AEO for Umbraco: Your Next Visitor Is an AI

**We built a free Umbraco extension that makes your site readable to ChatGPT, Claude, Perplexity and the other answer engines, and shows you exactly which AI crawlers are already visiting.** Here's why Answer Engine Optimization matters now, and what happened when we switched it on for our own site.

## Search traffic is turning into answer traffic

For twenty years, being findable meant one thing: rank in Google, earn the click. That model is eroding fast. A growing share of questions never reach a search results page at all. They're asked directly in ChatGPT, Claude, Perplexity or Copilot, and answered in place. The user gets a synthesised answer with a handful of cited sources, and *those citations are the new page one*.

This is what Answer Engine Optimization (AEO) is about: making sure that when an AI assistant answers a question your business could answer, your content is what it draws on, and your name is what it cites.

The good news is that AEO is not a dark art. Unlike classic SEO, where you reverse-engineer a ranking algorithm, answer engines have fairly clear preferences:

- **They prefer clean, structured text over rendered HTML.** Navigation, cookie banners, script tags and styling are noise that wastes their context window.
- **They read Markdown natively.** Emerging conventions like [llms.txt](https://llmstxt.org) exist precisely so AI crawlers can discover and ingest a site efficiently.
- **They trust verified, structured identity.** Organization and article markup (JSON-LD) tells an engine *who* is speaking, not just *what* is said.

The bad news: almost no CMS produces any of this out of the box. That's the gap we decided to close for Umbraco.

We've released [**AEO for Umbraco**](https://marketplace.umbraco.com/package/flowcourier.umbraco.aeo), a free extension that makes an Umbraco site answer-engine-ready the moment it's installed. No editor work, no content changes, no templates to edit:

That's the whole setup. The package self-registers, and on the next run your site gains three new surfaces, all generated live from your published content so they're never stale:

**`/llms.txt`** - a curated index of your site following the llms.txt standard: title, summary, and a grouped list of every indexable page, each linking to its Markdown version. Think of it as a sitemap written for language models.

**`/llms-full.txt`** - your entire site rendered to Markdown in a single document. Ideal when someone (or something) wants to feed your whole site into a model's context or a RAG pipeline in one request.

**Any page as Markdown** - append `.md` to any URL (`/products/widget.md`) and you get a clean Markdown rendering of that page instead of HTML. Rich text, Block List and Block Grid content are all converted; layout, theme and system properties are stripped out so the output is pure content.

Everything respects your existing content model: no-indexed pages stay out, sitemap exclusions are honoured, and multilingual sites get per-culture output that follows the same domain configuration Umbraco itself uses for routing.

All behaviour is configured in `appsettings.json`, with sensible defaults, and the backoffice shows a read-only view of the settings active on your site:

## The part most AEO tooling forgets: discovery

Generating Markdown is only half the job. A crawler that lands on your HTML page needs to *find out* the Markdown version exists. The extension makes every rendered page self-describing:

- Each HTML page carries a `Link: <…/page.md>; rel="alternate"; type="text/markdown"` response header **and** a matching `<link>` tag in `<head>`.
- A client can skip the `.md` suffix entirely and request the normal page URL with `Accept: text/markdown`, and content negotiation returns the Markdown representation directly.
- All AEO responses support proper HTTP caching (`ETag`, `Last-Modified`, `304 Not Modified`), so aggressive AI crawlers revalidate cheaply instead of re-downloading your site.
- Optionally, the package adds discovery lines to your `robots.txt` pointing at the llms.txt files.

Does discovery actually work? Within days of installing it on flowcourier.com, we watched Amazon's crawler request an HTML page, notice the Markdown alternate, and come back for the `.md` version instead. The mechanism isn't theoretical: the crawlers are already using it.

## Structured data, without the templates

The extension also injects a schema.org JSON-LD graph into every rendered page: `WebSite` and `Organization` markup on the homepage, `WebPage` or `Article` nodes on every page (with published dates and authors resolved from your content), breadcrumbs, and FAQ markup wherever question/answer pairs are found in your content.

The one thing it never does is *guess your identity*. Organization details (name, legal name, logo, official profiles) are the core trust signal AI engines use to verify who's behind a site, so editors fill them in once on a dashboard in the backoffice. Two minutes of work, and every page on the site carries verified identity markup.

## See who's crawling you: the AEO Dashboard

Here's the part that surprised us most. The extension includes an **AEO Dashboard** in the Umbraco backoffice (under Settings) that recognises the user agents of 20+ AI crawlers (OpenAI, Anthropic, Perplexity, Google, Meta, Apple, Amazon, ByteDance and more) and records every visit.

We installed it on our own site a few days ago. The very first full day: **136 hits from AI crawlers.** Not humans, not Googlebot. AI systems, reading our content.

The breakdown was even more interesting than the volume:

- **ByteDance's Bytespider was the most active crawler** on our site, ahead of Anthropic, OpenAI and Amazon.
- **Most traffic was training crawlers**: models ingesting content for future training runs.
- **A meaningful share was AI search**: engines fetching pages to answer a live query.
- **Around 8% were live assistant fetches**: a real person, in a real conversation with an AI, whose assistant went and read our site to answer them.

That last number is the one to watch. Every one of those fetches is a moment where your content either answers a prospect's question, or a competitor's content does.

The dashboard shows hits per crawler with operator and purpose (training, AI search, or live assistant), the HTML-vs-Markdown ratio (is your AEO surface actually being used?), top pages, and a recent-visits log, over 7-day and 30-day views.

And because we're an EU company building for EU businesses, analytics is **GDPR-safe by design**: no IP addresses, no raw user-agent strings, no query strings are ever stored, just which bot, which path, and what was served. There is no personal data to worry about, no consent banner implications, nothing to add to your processing records.

## What this means in practice

If you run a business on Umbraco, here's the honest summary:

1. **AI crawlers are already on your site today.** You just can't see them, and they're reading your slowest, noisiest format.
2. **Making your content answer-ready is now a one-package install.** What used to require custom middleware, converters and schema templates is `dotnet add package` and a deploy.
3. **You can finally measure it.** AEO without analytics is faith-based marketing. The dashboard turns "are AI engines reading us?" into a number you can track month over month.

One honest caveat: the extension is built for sites where Umbraco renders the front end (MVC/Razor). If you run a fully headless setup with a separate front-end host, the discovery headers and injected markup never reach your public site, so it's not a fit there.

## What's next

This free release is the foundation: make the content readable, make it discoverable, measure who's reading it. The next layer we're exploring goes further: analysing your content the way an answer engine does, and suggesting how to restructure it around the questions people actually ask. Closer to what enterprise platforms are starting to do for AEO, but native to Umbraco.

The dashboard also opens the door to *acting* on crawler data, for example reviewing which bots you welcome and rate-limiting or blocking the ones you don't. If that's something your organisation needs, we'd like to hear about it.

1. Why Replace Your Current Chat Widget?

If your current website chat is a basic widget — something like Webply, Drift, or Intercom on autopilot — you're probably seeing the same patterns:

- Visitors ask the same 20–30 questions, over and over
- No one's available to respond outside business hours
- Leads go cold because the reply came too late
- Support questions and sales enquiries land in the same queue

The promise of AI chat is to handle the repetitive questions automatically, capture leads around the clock, and route the complex stuff to the right human — without making visitors feel like they're talking to a wall.

Breeze Customer Agent delivers on this, but only if you invest in the setup. It's not plug-and-play. The quality of the experience is directly proportional to the quality of the knowledge you feed it and the rules you set.

2. What Breeze Customer Agent Actually Is (and Isn't)

This is the first thing to get right, because HubSpot's Breeze ecosystem has several pieces that look similar but do very different things.

**Customer Agent** (Service → Customer Agent) is the website-facing AI chat. It's what replaces your current chat widget. It answers visitor questions using your content, captures leads, and escalates to humans. This is what you want.

**Breeze Studio Assistants** (Breeze → Breeze Studio → Create Assistant) are internal-only. They're for your team to query inside the HubSpot interface — think of them as an internal knowledge bot. They don't power the website chat widget.

We lost time early in our project because the client had opened Breeze Studio first and started configuring an Assistant, thinking it was the chat widget. It's an easy mistake — the interfaces look almost identical. Make sure you're in **Service → Customer Agent** before you start configuring.

Another important distinction: the Customer Agent inherits your **Brand Voice** settings (personality, tone, competitive context) that are configured globally in HubSpot. So before you start writing agent instructions, check what's already set up under Settings → AI → Brand Voice. You may find that half the personality work is already done.

3. The Knowledge Foundation: Garbage In, Garbage Out

The Customer Agent answers questions by pulling from knowledge sources you configure. These can be:

- **Imported URLs** — pages from your website that the agent crawls and indexes
- **Uploaded files** — markdown, PDF, CSV, or Word documents
- **HubSpot content** — knowledge base articles, landing pages, blog posts

The temptation is to dump everything in and hope for the best. Don't. We took a structured approach:

**Step 1: Analyse what visitors actually ask.** We exported several months of chat logs from the legacy widget — roughly 500 questions. Then we categorised them. The breakdown was revealing: over half were basic product questions, about 12% were "how do I contact you?", and only 8% were actual pricing enquiries. A significant portion was spam.

**Step 2: Build a curated URL list.** Instead of enabling "crawl the entire domain" (which can index irrelevant pages like job postings or cookie policies), we hand-picked 34 URLs across three tiers: core product pages, feature detail pages, and audience-specific pages. This gives you full control over what the agent can reference.

**Step 3: Create a structured FAQ file.** We extracted the top 30 question themes from the chat logs, drafted best-effort answers from the website content, and put them in a spreadsheet for the client to review and correct. Once validated, these become a markdown file uploaded to the Knowledge → Files tab.

The key insight: **raw chat logs should never be fed directly into the agent.** They're full of typos, half-conversations, and spam. The right approach is to extract patterns, author clean answers, and upload structured content.

4. Guidelines: Teaching the Agent How to Behave

HubSpot recently introduced **Guidelines** (currently in beta) for the Customer Agent. These let you define tone, response style, scripted responses, and guardrails in natural language.

If your HubSpot account already has a Brand Voice configured, you don't need to repeat the personality and tone in Guidelines — the agent inherits those automatically. Focus Guidelines on **chat-specific behaviour**:

**Response style** — keep chat answers to 2–3 sentences. No bullet-point lists. Answer the question first, then offer a next step.

**Scripted responses** — ready-made lines for common moments: greetings, pricing deflections, handoff messages, "are you a bot?" answers. These ensure consistency even as the AI generates different responses each time.

**Guardrails** — this is the most important field. Tell the agent what it must never do: never quote specific pricing, never troubleshoot technical issues, never share competitor comparisons, never make delivery promises. Without guardrails, the agent will try to be helpful in ways you don't want.

After writing your guidelines, use the **Optimize** button — HubSpot will rewrite them for better agent performance. Review the changes carefully, especially on guardrails. Then use **Test Draft** to validate before publishing.

5. The Welcome Screen: A Chatbot Front Door

Our client wanted a chat experience like HubSpot's own — a welcome message with clickable buttons that route visitors immediately. The Customer Agent doesn't support buttons natively, so we built a **rule-based chatbot** as a front door.

The architecture:

- Visitor opens the chat and sees a welcome message with quick-reply buttons
- "Book a Meeting" → shows a booking link
- "Pricing" → shows pricing information and offers to connect with sales
- "Chat with Sales" → collects email and routes to the sales team
- "Submit a Support Ticket" → shows the support portal URL
- "I have a question" → hands off to the Customer Agent (AI)

This separates prospects from existing customers at the very first interaction — effectively solving the persona detection requirement without any AI at all. The AI only kicks in when someone actually has a product question.

The critical lesson: **verify that a rule-based chatbot can hand off to the Customer Agent** in your HubSpot setup. This works, but the connection isn't obvious in the UI. Look for "Send to Customer Agent" in the action list when building your chatflow.

6. Human Handoff: When AI Should Step Aside

The default handoff configuration in HubSpot is surprisingly weak. Out of the box, it assigns tickets to "no one" and sends a message that says "We don't have any agents available right now." That's exactly the wrong thing to say to a visitor who just hit the limits of your AI.

We configured:

**Custom triggers** — hand off immediately when a visitor reports a technical issue, asks for someone in a specific country, pushes back on pricing deflection, or explicitly asks for a human.

**A better message** — "Thanks for chatting with me! I'm connecting you with our team now — someone will follow up with you shortly."

**Team-based routing** — different conversation paths route to different teams. Sales enquiries go to the sales team, technical issues go to support, and general questions that the AI can't answer go to the team best placed to help. This is configured through HubSpot Teams and the chatflow's branch-level assignment — each button in the welcome screen can route to a different team. The Customer Agent's own handoff (when the AI gives up) goes to a default team, typically marketing or customer success.

The handoff is where trust lives. If your AI confidently deflects a frustrated customer into a void, you've made things worse than having no chat at all.

7. GDPR and Cookie Consent

If your website uses a cookie consent manager (we use Cookiebot with Umbraco), the chat widget must not load until the visitor accepts the relevant cookie category. This is straightforward:

Test it: clear cookies, visit the site, verify the widget doesn't appear, accept cookies, verify it does. Simple but easy to forget.

8. Lessons From the Field

**Get your product knowledge right before anything else.** The AI is only as good as the content behind it. We start every project by analysing what your visitors actually ask — not what you think they ask. We extract question patterns from your existing chat logs, build a structured FAQ, and work with your team to validate the answers. This knowledge foundation determines whether the agent passes or fails. Everything else — the welcome screen, the routing, the branding — is just polish on top.

**Involve your team early.** The AI can draft answers from your website, but only your product and support teams know the details that aren't published: download URLs, phone numbers, compatibility specifics, regional contacts. We send a simple review spreadsheet in the first week so your team can correct and approve answers on their schedule — no HubSpot access needed.

**Understand the credit model.** The Customer Agent consumes HubSpot Credits per conversation. There's a 28-day free trial, but when it expires the AI stops silently — the chat just closes with no error message. We plan around this from day one so there are no surprises.

**Set up your teams before building the chatflow.** The chatflow routes conversations to different teams — Sales, Marketing, Support. If those teams aren't configured in HubSpot yet, everything lands on one person. We make sure the organisational structure is in place before we wire up the routing.

**Keep the rules simple.** The agent responds to natural language instructions, not complex decision trees. "Never quote pricing — offer to connect the visitor with sales instead" works better than a ten-point flowchart. We write guardrails the way you'd brief a new team member on their first day.

**Know where HubSpot ends and where enterprise AI begins.** Breeze is excellent at what HubSpot does well: lead capture, meeting booking, contact creation, and conversational engagement. But the moment you need the agent to pull real-time data from an external system — a price from your ERP, a SKU from your product catalogue, an order status from your logistics platform — you hit the ceiling.

For anything beyond standard lead generation, the architecture we recommend is to keep **Breeze as the customer-facing UI** — it handles the conversation, the brand voice, and the visitor experience — but pipe complex actions to **Azure AI Foundry**. Foundry becomes the orchestration layer where custom agents securely query your ERP, CRM, or any internal system, then return the result to Breeze.

This separation makes sense because HubSpot is a marketing and sales platform — it's not designed to govern access to sensitive business data. Breeze Customer Agent is a good fit if:

- You're already on HubSpot (Marketing, Sales, or Service Hub Professional+)
- Your website gets repeat questions that could be answered from existing content
- You want to capture leads outside business hours
- You need multilingual support — Breeze auto-detects and responds in the visitor's language

It's not the right fit if:

- You need deep integration with external systems (Breeze's actions are limited to HubSpot's ecosystem)
- Your questions require real-time data lookups (order status, account balance)
- You're not willing to invest in building and maintaining the knowledge foundation

The setup isn't trivial — budget two to three weeks for a full implementation, including the client review cycle on FAQ content and team routing configuration. But once it's running, you have a 24/7 sales assistant that knows your products, speaks your visitors' language, and never sleeps.

WordPress 7.0 is the AI release. For the business running the site, three things change. Editorial work that used to take hours. Brand language, meta descriptions, content classification now happens automatically. AI access is governed centrally with one set of keys and one audit trail, instead of scattered across half a dozen plugins. And your content becomes discoverable inside answer engines like ChatGPT, Claude, Mistral and Google's AI Overviews, not just classic search.

The mechanism behind this is four new pieces in WordPress core, but the question for most teams isn't what's under the hood. It's whether your AI stack stays secure, GDPR-aligned and actually saves editorial time or whether 7.0 becomes another plugin-wrangling exercise.

1. What's in WordPress 7.0, and what isn't

The AI work is the real story. **Four pieces matter:**

### 1. Connectors

A new "Settings &gt; Connectors" area where you register API credentials for AI providers (*OpenAI, Anthropic, Google*). Plugins and themes plug into the same providers instead of each shipping their own key management.

### 2. WP AI Client

A standard client-side library plugin and theme authors use to call AI models in a consistent way, with auth handled by the connector layer.

### 3. Abilities API

A way for plugins, themes and core to declare "abilities" (capabilities) that AI can discover and use.

### 4. MCP server

Model Context Protocol exposed on the site itself, so external AI agents can read structure, content, and abilities through a controlled interface.

Outside the AI work, the editor gets useful housekeeping: a command palette (*Cmd/Ctrl + K*), visual revisions side-by-side, a native breadcrumbs block, a native icons block, block-level CSS, custom fonts for classic themes, block visibility controls per device, and a heading level picker that stops fighting you.

2. Why AI in core matters more than another plugin

WordPress has had AI plugins for two years. Most of them ship their own API key field, their own provider selection, their own prompt config, and their own quirks. *The result has been fragmented, and impossible to govern at organisation level.*

**Three things change when AI sits in core:**

**A single key, a single audit trail.** One Connectors panel. One place to rotate keys, switch providers, or pull access when someone leaves. For agencies and in-house teams managing multiple sites, that's the difference between an unmanageable mess and a real policy.

**Plugins compose instead of compete.** With a shared client and Abilities API, an SEO plugin can call the same model your content workflow plugin uses, without duplicating credentials or prompt logic. The ecosystem stops re-implementing the same wiring.

**MCP turns the CMS into something agents can use.** This is the part that's underestimated. With an MCP endpoint, a *Claude, Copilot, or internal agent* can, under your permission model, read your taxonomy, draft posts in the right format, populate alt text, identify outdated content, or run editorial audits. *Not by scraping the front-end*, but through a proper protocol that respects your roles and capabilities.

This is where WordPress starts looking less like a CMS and more like **a node in an agentic system**. The same direction the wider industry is moving, Umbraco's MCP server, Microsoft's Agent Framework, the broader MCP ecosystem.

3. From SEO to AEO: the boring stuff AI actually fixes

**Search is splitting.** Classic SEO still matters, but a real share of intent now resolves inside answer engines, *ChatGPT, Gemini, Claude, Perplexity, Copilot, Google's AI Overviews*. **AEO (Answer Engine Optimisation)** is what gets you cited there.

Both depend on the unglamorous fundamentals: every image with sensible **alt text**, every page with a real **meta description**, **schema** that matches the content, internal links that resolve, content classified consistently. *The exact things editors skip when they're under deadline.*

The official AI plugin built on top of 7.0's framework handles a lot of this directly: alt text generation, content classification, meta description generation. With your own connector and your own provider, *governed by your own permissions*. Not magic, just removing the tax that stops the basics getting done.

For B2B sites in regulated markets, most of our clients in **Denmark**, there's a second dimension: **model choice**. If you need EU residency and contractual GDPR coverage, you point the connector at **Azure AI**. If you're fine with US providers calling direct, you have the full menu. *The plumbing is the same; the compliance posture is not.*

4. Integrations: WordPress as a participant, not an island

This is where our day job lives. Most WordPress projects we touch need to talk to something else, *HubSpot, Pipedrive, Klaviyo, Frisbii for subscriptions, e-conomic for accounting, an ERP, a CRM, or a portal sitting on Microsoft Dynamics*.

7.0 doesn't replace these integrations, but the **MCP endpoint and Abilities API** change how the AI layer fits in. A few patterns we're already designing around:

**Marketing assistants** that read your WordPress content through MCP and propose Klaviyo segments or HubSpot workflows based on what you actually publish.

**CRM enrichment** where a sales rep asks an agent *"what does this prospect's company actually do?"* and the agent pulls from both your CRM and your public WordPress content.

**Editorial agents** that watch new content on WordPress, generate a draft LinkedIn post, and post it back to HubSpot or Pipedrive as a task for review.

The key is that *none of this needs custom glue code per integration anymore*. **MCP is the glue.** Your job, and ours, is to design which abilities to expose, to whom, and under what guardrails.

5. Editor-friendly, secure, fast: our checklist for AI-era WordPress

**Three things we don't compromise on**, regardless of how shiny the new release looks.

**Editor-friendly.** AI in the editor should *remove friction, not add review burden*. Alt text should generate on upload, then be reviewed once, not become a new step. Meta descriptions should pre-fill, not pop a modal. The command palette and visual revisions are genuinely useful; pair them with a clean editor configuration and editors will notice the difference inside a week.

**Secure.** The Connectors model is good news for security, but it shifts the threat surface. API keys are now in a known location with known scopes, make sure backups don't leak them, and rotate on a schedule. The MCP endpoint needs its own access policy: which roles can call which abilities, and what gets logged. Treat it the same way you'd treat a public API.

Most of our WordPress clients aren't technical and have no interest in becoming part-time security admins. That's where our [Safeguarding](https://flowcourier.com/solutions/support/) service lives. Monitoring, updates, key rotation, AI governance, performance and integration health, so the people running the business can keep running the business. AI in core adds capability and attack surface in the same move; ongoing care closes the gap.

**Fast.** AI features must not bloat the front-end. *None of the 7.0 AI work runs on page render, it's all admin-side.* 7.0 also includes block rendering and database query optimisations that quietly help **Core Web Vitals**. As always, hosting (*Kinsta, WP Engine, Hetzner with proper caching*) and image strategy still do most of the work.

6. Planning the update, and why we recommend Azure AI

Updating to 7.0 is more than a version bump. *The AI layer is a configuration choice*, and that choice carries security, privacy, and compliance implications. A short, honest plan beats a panic.

**Our default recommendation: build the AI configuration on** [**Microsoft Azure AI**](https://azure.microsoft.com/en-us/solutions/ai "azure.microsoft.com")**.** It's the option that gives clients what they actually need, *data residency in EU regions, Microsoft's enterprise governance, no model training on your content*, and contractual GDPR commitments through the standard Microsoft customer agreement. For Danish and EU businesses that's the path that lets you adopt the new framework **without a separate compliance conversation** every time you ship a feature. It also lines up with the rest of the Microsoft stack most of our clients already run, *Entra for identity, Azure for hosting, Dynamics or Microsoft 365* for the business systems WordPress needs to talk to.

**From there, the plan looks like this:**

**Audit your current AI plugins.** Which can be retired once core handles connectors? Which are doing something genuinely additional? *Don't end up with three parallel AI stacks.*

**Configure the Azure AI connector.** Point Connectors at your Azure deployment. *One set of keys, EU-hosted, governed centrally, auditable.*

**Map your abilities and MCP exposure.** What do you actually want agents to be able to do? Read public content only? Read drafts? Trigger imports? *Define this on paper first.*

**Test on staging.** Standard practice for any major release. The 7.0 changelog is large; some themes and older plugins will need updates.

**Plan an SEO/AEO sweep.** Once the AI tooling is in place, run it across your back catalogue for alt text, meta descriptions, and content classification. *One of the highest-leverage uses of the new framework on day one.*

## Modernising the onboarding experience for new sign-ups

The BitaBIZ team wanted their onboarding flow to better reflect the maturity of the product and the company behind it.

The goals were clear:

- Make the startup experience more modern and visually appealing
- Collect richer information from new sign-ups, enabling the system to be tailored to real needs
- Send meaningful user and company attributes to Intercom to improve support and help convert trials into customers

- Existing customers should be able to preconfigure only the systems they use daily in a shop-like experience
- Remove focus from Denmark to global with country specific configurations

# A Maintenance-Free, Real-Time POS Synced Solution for La Fee Verte

**How we crafted a fully automated, CMS-free website with live POS integration, dynamic QR codes, and GDPR-compliant analytics for La Fee Verte in Copenhagen. Instead of generating aimless content with LLMs, we focused on delivering simplicity and streamlined functionality for an enhanced customer experience, both in and out of the bar.**

## Challenge

La Fee Verte, a bar in Copenhagen required an efficient, low-maintenance solution to manage website content and synchronize it with their Point of Sale (POS) system. The goal was to create a website featuring live inventory updates directly from the POS and dynamic QR codes to replace traditional paper menus. Additionally, a template was needed to generate printable paper menus when required. Integration with social media and review platforms was essential to automate marketing content, allowing staff to focus solely on updating the POS and social media. The mobile-first website also needed fully automated analytics reporting.

## Solution

To streamline La Fee Verte’s digital presence, we created a fully automated, maintenance-free website without a traditional Content Management System (CMS). The website directly pulls live menu information, including offers, stock, and draught beers, from the Point of Sale (POS), ensuring all listings are always up-to-date. Dynamic, printable QR codes link to Social Media, digital menus and integrate with analytics, capturing data on menu views, category popularity, and individual product interactions. For data analytics we chose cookieless Matomo tracking to respect users privacy and GDPR rules.

Automated scheduling sends summarized website activity reports directly to the team’s inbox, so employees stay informed without needing to learn or maintain additional systems. **Buyers used to start on Google. Many of them now start on ChatGPT, Claude, or Perplexity. If a site is not built for those answer engines, large chunks of demand never reach it. That is the gap we set out to close for Mentorix.**

## Challenge

Buyers used to start on Google. Many of them now start on ChatGPT, Claude, or Perplexity. If a site is not built for those answer engines, large chunks of demand never reach it. That is the gap we set out to close for Mentorix.

Mentorix is a Danish accredited training company. PRINCE2, ITIL, Scrum, AI, ISO 27001. The site looked fine to a human. To a search engine, parts of it were broken. To an AI assistant, large parts were invisible.

## What we found

We scored the site on two lenses on the same day. Classic SEO. AI discoverability. The starting numbers were 60% and 65%.

The detail was the point. One English page rendered as if it had ninety-two headlines. The English About page shipped a machine-translated description that read like a parody. The map for AI assistants was full of debug entries. None of this is visible to a casual visitor. All of it is visible to a search engine.

## What we changed

We made every course machine-readable. Each one now publishes its name, image, instructor, language, duration, package options, and price.

We changed the rules for AI crawlers. The assistants that quote published pages are welcome. The crawlers that feed model training are not. Mentorix gets cited. Training crawlers go elsewhere.

We replaced the auto-generated map for AI assistants with a curated one. Twenty short sections of the pages that matter. We cleaned up the search basics. The page that rendered as ninety-two headlines now renders as one.

## How we knew it worked

Same day. We re-ran the audit. Classic SEO went from 60% to 75%. AI discoverability went from 65% to 85%. We validated the course pages in Google's own tester. Eligible for richer search results.

Analytics is the slower signal. Google Search Console will show it first. The honest AI test is asking the assistants course-buying questions and looking for Mentorix in the answers.

It provides a secure, scalable environment with strong data protection measures. Additionally, it offers flexibility, allowing us to switch between large language models (LLMs) or scale functionalities easily.

We take your privacy seriously. TransitionCV does not store your resume or any input you provide. The system only keeps track of usage statistics, such as the number of CVs generated, without using cookies or storing visitor data.

For AI processing, we rely on **Azure OpenAI Service**, which operates within Microsoft’s secure Azure environment. Importantly, this service does not interact with OpenAI’s public APIs, ensuring that your data remains **private and secure**.

A website or an app, or a chatbot isn't a brochure. It's a conversation. We started as frontend engineers (React, Next.js), and we learned early that the code is only as good as the experience it delivers. So we treat design as a discipline, not a finishing touch.

The hard part isn't building it, it is designing it well

Anyone can scaffold a chatbot or a Power Platform flow. The real craft is making it feel intuitive: keeping familiar inputs like date pickers and quick choices alongside AI flexibility, letting people restart when they're stuck, and making sure no one ever feels lost or trapped in a flow. We prototype rapidly in tools like Copilot Studio so we can test how something *feels* before it's ever built. Finished systems are easy to demo and hard to get right — getting them right is the work.

Accessibility isn't a feature. It's the starting point.

Good design is about whether a visitor can find what they need, understand it, and act on it, without friction or confusion. That's why we build to recognised accessibility standards as a baseline: proper contrast, keyboard navigation, screen-reader support, and plain, human language. For us, compliance is the floor, not the ceiling.

Engineering and craft, as one team

Most agencies treat design and development as two departments that email each other. We don't. We're engineers who care about craft — and secure enough to know where our expertise ends. For visual identity, we bring in someone who lives and breathes it.

On [Skattebetalerne](https://flowcourier.com/clients/skattebetalerne/ "Skattebetalerne"), we teamed up with Creative Director Kasper Ødegaard, and it never felt like outsourcing — it felt like gaining a teammate. Kasper sat inside the project, shaping the visual language while we built the system underneath. That's the difference between a site that was assembled and one that was designed.
